About the role
Harborlight Church is seeking a committed and diligent Office Manager (Admin & Operations) to join our team. In this full-time role, you will be responsible for overseeing the smooth running of our church office, ensuring efficient administrative and operational processes are in place. You will play a pivotal role in supporting the day-to-day operations of the church.
What you'll be doing
1. Administrative Support
Assist Pastoral Team and Board in administrative matters
Coordinate Annual Business Meetings
Ensure upkeep, updating and safety of Church Membership records
Filing of Administrative forms
Assist in pastoral support in purchasing hampers
2. Human Resources Support
Assist and coordinate in staff monthly payroll
Handle all staff’s leave application and management of staff movement
3. Finance and Accounting Support
Handle all the book-keeping and accounting requirements from accounting partner
Assist with all payments, claims and reimbursements
Assist with coordinating Guest Speaker honorariums where necessary
4. Channel Management
Act as the point-of-contact for the business and coordinate with Property Management to solve all facilities-related issues.
Assist in coordinating between Board and Company Secretary
5. Facility Management
Office maintenance - Arranges cleaning, up-keep of office furniture and fixtures.
M & E - Responsible for water, air-con, power and issue management.
Office Renovation – Supports or coordinates any office renovation & ensure renovation work (needs, time, quality) etc.
Space planning - Point of contact for space requirements, modification of offices, staff placement to the respective desks, ensures a corresponding supply to the space needs of the business.
6. Business Continuity (BC)
Support the Senior Pastor for Business Continuity.
Point of contact on all BC matters.
Maintenance of the BC plans.
Coordinator for all disaster recovery or fire drill.
7. Security Access
Ensure security and safety of Church Office.
Assign and review staff/ministry leaders access list pertaining to keys and facilities access.
8. Support the Board in the governance and financial matters of the Church and Office.
Support the Board in providing relevant information required in Church Governance and Accounting matters, not limited to.
Support the Board in the payroll of the Church Staff.
Coordinate & support the Board on the weekly tithes/offerings collection.
Coordinate with various authorities on Church Governance.
What we're looking for
You will be required to attend our Weekend Services and provide support where necessary
At least 2 years of relevant administrative or office support experience
Fluent in English and Chinese (Spoken and Written)
Proficient in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook
Highly organised and able to multitask effectively
Positive attitude with good interpersonal and communication skills
Strong and dependable team player with good collaboration skills
Demonstrate initiative to take on tasks and responsibilities as needed
